Privacy Policy
Effective: July 6, 2026
This policy covers caller9.app and our waitlist sign-up — the only personal information we collect today, ahead of our open beta. Once the Caller 9 broadcast phone system itself launches, a separate in-Service privacy notice covering call data will supplement this policy, as described in "The Service, Once It Launches" below.
1. Who We Are
Caller 9 Inc. ("Caller 9," "we," "us," or "our") is based at 204-1110 Government St, Victoria, BC V8W 1Y2, Canada. This policy explains what personal information we collect through caller9.app, why we collect it, and the choices you have.
2. Information We Collect
Information you give us
- Email address — when you join the waitlist, so we can notify you when the beta opens.
- Support correspondence — if you email us or use our support channels, the content of your message, your email address, and any details you choose to share to help us assist you.
Information collected automatically
- Technical and usage data — IP address, approximate country (derived from IP via Cloudflare), browser/device user-agent string, and the timestamp of your waitlist submission.
- Analytics data — we use Google Analytics to understand how visitors use the site (pages viewed, referring site, device type, and similar metrics), which relies on cookies or similar identifiers. See "Cookies" below.
Our waitlist form includes a hidden field designed to catch automated bots. Legitimate visitors never see or fill it in; if it's filled in, we discard the submission without storing it.
3. How We Use Information
- To operate the waitlist and email you about beta access and launch.
- To detect and prevent spam, abuse, and automated submissions (e.g., a short-lived per-IP submission limit).
- To understand and improve the site via aggregate analytics.
- To comply with legal obligations and enforce our Terms of Service.
4. Consent and Anti-Spam Compliance
By submitting your email to the waitlist, you give us express consent, consistent with Canada's Anti-Spam Legislation (CASL), to email you about the Caller 9 beta and launch. You may withdraw consent at any time by emailing help@caller9.app; we will remove your address from the waitlist.
5. Cookies and Similar Technologies
Google Analytics sets cookies to distinguish visitors and measure site usage. You can block or delete cookies in your browser settings, or use Google's Analytics opt-out browser add-on. Blocking cookies won't affect your ability to join the waitlist.
6. How We Share Information
We don't sell your personal information. We share it only with the service providers that help us run this site, under obligations to protect it:
- Cloudflare — hosting, content delivery, and the Workers KV database where waitlist entries are stored.
- Google LLC — website analytics (Google Analytics).
- MX Route — hosts our business email; messages you send to our support address pass through it.
- Help Scout — our customer support platform; support conversations and the information you share in them are stored there.
We may also disclose information if required by law, or in connection with a merger, acquisition, or sale of assets, in which case we'd require the successor to honor this policy.
7. The Service, Once It Launches
Caller 9 is, at its core, a broadcast phone system: once out of beta, using it will involve processing call-related data — phone numbers, call metadata, and (where a station enables it) screening transcripts or recordings. That processing will necessarily involve telecommunications carriers and cloud infrastructure providers who help route, connect, and process calls on our behalf. We're not naming specific carriers here because our upstream vendors can change, but we'll never share call content with anyone outside what's needed to deliver the Service, comply with the law, or as a station itself directs. We'll publish a dedicated Service privacy notice, with full detail on call-data handling, before general availability.
8. Cross-Border Data Transfer
Cloudflare and Google operate infrastructure in the United States and other countries. As a result, your information may be stored or processed outside Canada, where it may be subject to the laws of those jurisdictions, including lawful access by their authorities. We take reasonable steps to ensure a comparable level of protection wherever your information is processed.
9. Data Retention
Waitlist entries are kept until the beta launches and invitations are sent, or until you ask us to delete your entry, whichever comes first. Per-IP rate-limit counters automatically expire within 60 seconds and are never stored beyond that.
10. Your Rights
Under BC's Personal Information Protection Act and, where applicable, the federal Personal Information Protection and Electronic Documents Act (PIPEDA), you can ask us to:
- Access the personal information we hold about you;
- Correct inaccurate information;
- Withdraw consent or request deletion of your waitlist entry.
Email help@caller9.app to exercise any of these. If you're not satisfied with our response, you can complain to the Office of the Information and Privacy Commissioner for BC or the Office of the Privacy Commissioner of Canada.
11. Children's Privacy
Caller 9 is a B2B product for radio stations and is not directed at children. We don't knowingly collect personal information from anyone under 13. If we learn we've done so, we'll delete it.
12. Security
We use reasonable technical and organizational measures to protect your information, including relying on Cloudflare's infrastructure security. No method of transmission or storage is completely secure, and we can't guarantee absolute security.
13. Changes to This Policy
We may update this policy as the site and Service evolve. We'll update the effective date above when we do, and for material changes affecting the waitlist, we'll notify you by email.
